Job Description:


  • Respond to incoming company phone calls, transfer to appropriate individual, distribute messages as needed, interacting with customer, distributors and vendors, Greets, announces and verifies all guests.
  • Maintains regular consistent and professional attendance, punctuality, and personal appearance.
  • Manages, organizes, and updates relevant employee data and contact lists.
  • Picks up, sorts and distributes mail and deliveries on a daily basis.
  • Assists in administrative problem solving, program/project planning, development, execution of stated goals and objectives.
  • Coordinates meetings, program functions and /or special events, as appropriate.
  • Create, compose and edit administrative correspondence and documentation.
  • Maintains an in-house library of pertinent materials (e.g., publications and periodicals).
  • Monitors, reconciles, and assists with day-to-day administration of all areas, including, but not limited to, expense reports, travel arrangements, creating and maintaining files, etc.
  • Oversees and/or performs a range of diverse administrative activities for the department; serves as a central point of liaison with other areas and external constituencies in the resolution of a variety of day-to-day matters concerning all areas.
  • Prepare materials as required in advance of meetings and organize bi-weekly staff meetings.
  • Place orders for office, kitchen and food supplies.
  • Prepare PowerPoint presentations, EXCEL spreadsheets, etc.
  • Create company literature and other forms of communication.
  • Liaise with building management for minor office repairs, etc.
  • Performs other duties as deemed necessary.

Experience and Skills:


  • High School Diploma required. Bachelor's degree a plus.
  • Requires at least 5+ years of administrative experience.
  • Proficient in Microsoft Office applications (PowerPoint, EXCEL, and Word) Adobe Creative Suite a plus.
  • Excellent organizational skills.
  • Solid verbal and written communication skills.
  • Ability to work for several individuals and as part of a team and take direction from various sources.
  • Excellent interpersonal skills, initiative, dependability and the ability to communicate with all levels in the organization as necessary.
  • Ability to handle multiple simultaneous, time-sensitive projects.
  • Ability to maintain confidentiality in all matters.
  • Excellent oral and written communication skills and above average interpersonal skills with team orientation essential.
  • Ability to prioritize, actively seek input, and problem solve.
  • Accuracy and attention to detail required.
